Insurance Policies

Personal Use-

All Drivers must have Full Coverage Insurance, meaning Liability and Collision coverage that will transfer to our vans. Customers must call their Insurance company to verify if the rental vehicle is covered in case of an accident (you must provide your insurance company with the make and model of the vehicle being rented to verify). We do not offer stand-alone Full Coverage; this type of insurance can only be purchased at an insurance company.

We do offer Collision Protection, which covers only the vehicle you rent up to $20,000 dollars in case of an accident. The collision protection does not cover the other vehicle involved in any accident and collision protection does not cover any kind of property damages. Collision Protection also does not cover damage to the windshield. There is a deductible of $350 dollars in case of an accident for collision protection.

Our Collision Protection is a Primary Insurance that is only offered to customers with current Full Coverage Insurance from an Insurance Company. We do not offer this product as stand-alone insurance.

There are two kinds of insurance you need to have in place in order to work with us:

1. Liability insurance
Liability insurance covers any damage or injuries that you may cause to someone else due to your fault or negligence. For example, if you cause an accident by running a red light and hit another car, liability insurance will cover the damages to the other vehicle and any injuries to the occupants. Liability insurance does not cover damages to your own vehicle.

2. Collision Insurance
Collision insurance covers collision damage to your vehicle, regardless of who is at fault. This includes damages caused by hit and run accidents or collisions with other objects.

If you have both liability, collision, and comprehensive insurance from the same insurance company, it is called “full coverage insurance.” Most full coverage, auto insurance policies will cover damage to rented vehicles, but it is recommended to check with your insurance agent to confirm that it covers passenger vans that seat 12 to 15 people.

Commercial use-

All Drivers using our Vans for commercial use will not be covered under a personal auto policy. The insurance company will reject coverage and ultimately leave you personally liable for an accident!

If you do have commercial coverage, you need to add our company to the Certification of Insurance to rent a vehicle. Only way to do this is to contact your Commercial Insurance Agent.

Credit Card Insurance:

All Drivers must have Stand-alone Comprehensive Insurance, meaning Liability and Collision coverage that will transfer to our vans from an Insurance Company.

We do not accept any type Credit Card Insurance. Credit Card Insurance will specifically exclude passenger vans and in most cases is a Secondary Insurance, meaning you need to have stand-alone comprehensive insurance first for the credit card insurance to cover vehicle damage. No credit card has liability insurance.

Insurance not Accepted: United Auto insurance, Axcess insurance, Magnum Insurance, Insurance on the Spot, Unique Insurance, Lighthouse Insurance, Safe Auto, Lincoln Insurance, American Alliance, Loya Insurance, Amigo Insurance, or any SR-22. These insurance companies will not transfer to a passenger van rental.

Vehicle Maintenance and Renter's Responsibility

We prioritize the maintenance of our vehicles, but we also rely on our renters to help us keep them in good condition. For rentals that last a week or longer, we require that our renters get a safety inspection and oil change every 10,000 miles (or sooner if indicated by the vehicle’s computer). Those who exceed this mileage limit without getting the required inspection may be subject to additional fees.

A1 Rental Vans requires all customers to report any warning lights that appear in the vehicle or take it to a dealership for further inspection.

Some models of Mercedes-Benz Sprinters may require a refill of DEF (Diesel Exhaust Fluid), which helps to reduce emissions. A warning light will appear when this refill is necessary. DEF can be purchased at most auto parts stores, Walmart, gas stations, and is easy to refill.
Customers are responsible for maintaining the cleanliness of the rented vehicle and may be charged for spills or stains on the seats or floor during the rental period.

The vehicle must be returned with the same amount of fuel as when it was picked up. If the fuel is not refilled, the company will charge twice the market rate per gallon to refill the tank.

Smoking, including vaping, is not allowed in the vehicle and will be considered damage to the vehicle, resulting in a $500 fee plus a $50 service fee.

For safety and liability reasons, A1 Rental Vans does not provide snow chains and does not recommend driving in areas where they are necessary. In the event of unexpected bad weather, the company advises stopping and parking the vehicle in a safe place and avoiding driving in areas prone to extreme snowstorms. If snow chains are used, it is the renter’s responsibility and any damages resulting from their use will be the renter’s responsibility.

Repair Policy

Accident Policy

If you are involved in an accident, no matter the size, you must notify our office at (773) 673-9203 and call 911. A copy of the accident police report must also be provided to us. If the accident occurs outside of regular business hours, please email us directly.

Prohibited Use

You are not permitted to drive our vehicles on rough or unpaved terrain or off-road. You are allowed to drive our vehicles within the US and Canada, but they are not permitted to be driven in Mexico. If you violate this prohibition, it will be considered a breach of the rental agreement and will nullify any liability or collision protection coverage provided by A1 Rental Vans. The vehicle may also be subject to immediate recovery by A1 Rental Vans. Please refer to the rental agreement for more details.

Roadside Assistance

We have a 24-hour nationwide road service available. If you need emergency roadside assistance anywhere in the continental U.S. or Canada, simply call 1-888-628-5095. When you call the roadside service, be prepared to provide the customer care representative the following information:

Roadside assistance must be contacted to repair flat tires and renters are not authorized to fix flat tires on their own.

However, please also call us to let us know that you are having problems. Please contact our central office immediately by calling 1 (773) 673-9203.

Transponders, Tickets, Tolls

The renter is responsible for all tickets, violations, toll fees, and parking fees during the time of their rental. We strongly recommend our renters to pay all tolls/tickets as they receive them. However, if the ticket/toll remains unpaid, we will charge a $50 administration fee to pay the ticket/toll on your behalf. The customers can use their own Ipass or pay tolls as they go or can purchase, I-pass from us with a nominal fee.

Payment Policy

A1 Rental Vans accepts various forms of payment for reservations, including major credit cards, debit cards, quick pay systems, checks, and cash. A credit card is required to authorize the rental. Reservations made online or over the phone require a $250 or 33% deposit (depending on the make and model), which will be held as a deposit towards the rental and will be refunded upon the return of the vehicle. The total cost of the rental will be charged upfront on the day of the rental, and any additional miles traveled beyond the included free miles will be charged at the end of the rental. By providing a credit card, the renter gives A1 Rental Vans permission to charge the card for any additional fees or charges associated with the rental agreement, unless other payment arrangements have been made in advance. The renter is responsible for paying any tolls, tickets, red light camera violations, or other violations that occur during the rental period. Cash payments may be eligible for a discount depending on the length of the rental. To rent a vehicle from A1 Rental Vans, you must bring a credit card with your name on it and proof of your current address, such as a utility bill. You must also sign a credit card authorization form acknowledging that you are responsible for paying any costs associated with the rental. A1 Rental Vans reserves the right to decline a rental if the renter does not meet all requirements. The person who made the reservation online or over the phone must come to the office at the time of the rental, unless arrangements have been made for someone else to pick up the vehicle. If someone else is picking up the vehicle, we will use their credit or debit card at the time of the rental.

Cancellation Policy

A1 Rental Vans has a 24-hour cancellation policy. Reservations can be canceled and fully refunded within 24 hours of being made. However, this does not apply to reservations made within 72 hours of pick-up, which will be charged the full rental amount if cancelled. A deposit of 33% of the estimated rental charges is required at the time of reservation. Any cancellations after the 24-hour window will be charged a deposit of 33% of the total rental charges. Cancellations made 72 hours or less before the rental pick-up or after; will be charged the full reservation amount. No exceptions will be made. A1 Rental Vans will not provide a refund if the required documents are not provided at the time of vehicle pick-up or if the trip is interrupted for reasons not caused by the company (COVID is not a valid excuse). All cancellations and date changes must be requested via email only.

Safety

Our vans have a high ceiling and extended air conditioner on the roof, which means they are not permitted to use drive-thru or park in garages that are less than 12 feet high and cannot accommodate the length of the van, which is 23 feet. It is the responsibility of the driver to follow traffic rules and regulations in the areas they visit. In addition, it is recommended to drive at a low speed or stop in a safe place during windy, snowy, or other hazardous conditions. All occupants must wear seat belts while the vehicle is in motion. Customers must bring their own car seats if needed. It is important to always follow speed limits and obey the rules of the road.

Mileage Restrictions

There is a mileage limit of 250 free miles per day. Any overage will be charged 0.35 cents per mile. For example a 10-day rental will come with 2,500 free miles. If you exceed that mileage limit you’ll be charged $0.35 for every mile over the limit. 

Fuel Type

Sprinter and Ford vans depending on the model takes Unleaded Gasoline. Please make sure you fill the tank with the correct fuel type. (Please Contact Us if in doubt)

Mercedes Benz Diesel vans are available. Please check the gas cap and the inside of the vehicle to identify the gas type. In addition, DEF fluid is need for Diesel Vehicles. If in doubt call us. If we are not available a quick search in google can give you a tutorial on how to fill DEF fluid.

Non-Smoking and Vaping Policy

Smoking and Vaping are absolutely not allowed in all our vehicles. Cigarette smells at return can cost the customer at least $500 and up for cleanup and detailing and $50 service charge
